Do’s and Don’t’s of Successful Event Promotion on Social Media

Gettings bums in seats at your next event can be a challenge and social media is a sure way to help get your message out there. Here are some important Dos and Donts when promoting your event on social media.

DO create a website for your event with pertinent information and registration instructions. While sites like Eventbrite are fantastic tools for creating online event registration portals, you should still have a dedicated website where all of your event details will be accessible for interested attendees.

DONT create a Facebook Event instead of a website. Rather, create a Facebook event that links to your website for more information.

DO write a press release and share it as a blog post. This should contain all of the relevant information about your event including a history of the event and details on the desired outcomes for attendees.

DONT expect people to look for information on your website. Use social media to share the press release and website link often.

DO use your social media sites to promote details about sponsors, vendors, presenters and more. In your posts, be sure to tag others and encourage them to like and share it to their own audience.

DONT ignore the importance of using paid advertising in addition to regular social media posting to draw attention to your event and your website. Make use of the power of custom audiences in Facebook Ads to target the right demographic for your event.

DO make use of your email list to send regular reminders about your event to both your regular mailing list as well as those who have registered. Keeping your event top-of-mind is a sure way to fill those seats.

DONT rely solely on social media. While you can implement many of the strategies listed in this blog, don’t neglect traditional forms of media or promotion. It’s important to create a press release and to list your event in as many online or print event listings as possible.

Creating the Perfect Pitch

A pitch is when you reach out to a media or influencer target to share your story with the hope that they will want to write about it or share your story in some way. The media receives hundreds of pitch emails every day. You need to find a way to stand out among the clutter. If you don’t, your email will quickly be moved to the trash.

What it really boils down to is that you need to be able to connect with another human being in such a way that they will want to hear more about what it is you are pitching. It is about building relationships. When you pitch the media, don’t think of it as a “one-and-done” strategy. Think of it as a long-term strategy where you make an impression and then you can keep the conversation going while you get more acquainted with your media target.

Here are a few things to consider to help you put together a great pitch that will get you noticed:

  1. Be selective with who you pitch. Your story won’t appeal to everyone. If your business is about beauty products, you likely wouldn’t pitch a sports reporter. While that is an extreme example, you do need to get to know the people on your media list. Look at what types of articles they write and what topics they cover. The goal is to tie it in with something they are interested in already. If that means cutting your media list in half, then do it. It’s better to have a highly targeted list where you have more chance of getting coverage than if you waste time pitching someone who would never cover your story.
  2. Personalize your pitch. Once you have your targeted list, take the time to personalize it by talking about how it fits within their overall topical focus. Reference articles they have written in the past. This will take extra time, but it will make a better impression on your media targets because it shows that you have thought about what you are writing rather than just sending a form letter.
  3. Remember that it’s not about you, it’s about the story. New companies and products come around every day – it’s not news to the media. You need to find a way to make your news stand out. Think about how your news fits into a broader storyline. That is what you want to focus on.
  4. Include a call-to-action – and don’t beat around the bush. Your pitch shouldn’t be too long. Keep it to a few short paragraphs. That means that you have to get to the point. Tell them why what you have to say is relevant. Tell them what you have to say. Tell them what you want from them. Make it easy for them to say yes by being clear and upfront about what you want.
  5. Don’t be annoying. We have all fallen into the “well, they didn’t answer, so I am just going to call again” trap. Often, if you are calling a reporter, they may say they prefer email on their voicemail. Or perhaps they have had a busy day and just didn’t get to it during that day. Give your pitch time to breathe before following up. Wait two days and try again. There will come a point that if they don’t respond to you, they likely just aren’t interested. Don’t take it personally, just move on.

Writing a pitch seems like an easy thing, but don’t get discouraged if you don’t nail it right away. It takes some getting used to. Give me a call if you need to bounce ideas around!

The Biggest Mistake Made When Networking!

A few months ago I attended a networking event where someone walked up to me, and the first thing they did was give me a business card, spoke barely a few words and walked away, and I noticed they did the same with others, distributing their business card. I was at another networking and business event, where someone brings out a BIG bundle of business cards to give me one, and this left me speechless, but with a strong desire to revisit the art of networking.

Considering the amount of information out there on effective networking, one could be forgiven for assuming the art of networking would be common knowledge. The biggest mistake that unfortunately is still happening is when people see networking as an opportunity to ‘sell’, ‘promote’ or ‘get’ as much possible to their benefit.

Networking can be described as the process of interacting or engaging in communication with others for mutual assistance or support. Note the word ‘mutual’? When networking is done properly, its benefits can be endless, and includes making business contacts, establishing new friendships or relationships, or seeking advice and information.

Networking is not a race to distribute as many business cards or get as many cards as possible. Yes networking is effective for building your professional career or business, and I can testify to having great results from networking, but this happened when I was being present in the moment, being authentic, and interested in the other person.

From my own experience, trainings attended and reading done, one key point that cannot be overemphasised is that ‘Networking is about building Relationships’. Only in getting to know someone and vice versa can a need be met effectively. We need to change our mindset from focusing on not just what we can get, but to also what we can give. The law of nature and reciprocity has proven that in giving we are bound to receive.

 How to Network Effectively

  1. Prepare beforehand by having a positive attitude and think of what you would like to achieve from attending i.e. meet two new people today. However, keep an open mind at the event, which could open you to receiving more than you expected.
  2. Have your elevator pitch/speech ready on how to introduce yourself effectively; short, to the point and effective.
  3. If you feel lost, nervous or struggle to join a group that is already in conversation, find someone on their own and introduce yourself.
  4. Develop the art of small talk; start a topic in relation to the event you are presently at, a related current affairs topic or admire something about the person you want to start the conversation with. Some simple conversation starters include ‘great event…’, ‘Is this your first time here…’
  5. Listen and focus your attention on who you are talking with, imagine how you would feel if you were talking with someone and they are constantly looking around or at their cell phone.
  6. Use open-ended questions that will help keep the conversation flowing, as opposed to closed-ended questions that solicit a ‘yes’ or ‘no’ answer.
  7. When you receive a business card. Write a note on it to help jog your memory for the next time you look at the card.
  8. Make sure you follow up after events; it could be call to say hello or how well you enjoyed meeting them. This helps to create a connection that you can work towards building.
  9. Networking does not start and end with formal events, you can also network effectively at social events and online on social media.

We are constantly faced with opportunities to network in the many facets of our lives, and what you do with your opportunity has the capability to positively and significantly impact your life or not.

Join us for our 3rd Small Business Seminar on August 9th , 2014 from 9am – 4pm at Sheraton Parkway North Toronto(Hwy 404 and 407). We are very excited to be hosting our Seminar on the Northeast end of the GTA. This gives us a chance to expand our network and showcase what our business has to offer. IMMIGRANT WOMEN’S SMALL BUSINESS EXPO

This year, we are hosting two large feature events that are FREE of cost to our guests. We will be hosting our Immigrant Women’s Small Business Expo in Ottawa and in Toronto. Our Ottawa event will be held at the elegant Canadian Museum of Nature on October 4th, 2014 from 9am -5pm. This event will feature businesses from around the Ottawa area that offer services or business opportunities for our guests. We are expecting over 1000 guests to attend this one of a kind event. We will be inviting members of the Canadian Government, speakers from across Ontario and prominent members of the Ottawa Immigrant Community. We are currently seeking Exhibitors from business sectors such as education, legal, consulting, Immigrant Services, Real Estate, and more. Please view our event WEBSITE for further details. Our Toronto Edition of the Immigrant Women’s Small Business Expo will be held at the iconicToronto Metro Hall on November 9th, 2014. This event will be the premiere Immigrant Small Business event of the GTA. Our guest list will be similar to that of our Ottawa event. We are also seeking volunteers for both events. Our volunteer hours are split in two shifts: 6am – 12pm and 12pm to 6pm. We require volunteers in the areas of check-in, set-up, greeting, workshop organization and tear down. We are also seeking VOLUNTEERS for both our events. We are seeking 50 volunteers for each of our Expos. We welcome students, community groups and corporate groups as well. Volunteer areas available are: Exhibitor Check-In, Guest Entrance, Guest Check-In, Media Check-In/Escort, Direction Assistant, Workshop Assistant, Dignitary Check-In/Escort, and Event Check-Out. All proceeds from the event will go to funding our after-school high school empowerment program starting in the fall. “Authentic Me” is a 32-week program for girls grades 9-12. It will cover empowerment workshops, career counseling, leadership training, financial education and more.

Mission: To empower young women through self-discovery, self-healing, self-respect and self-development.

Event: The Monarch Girls Day objective is to develop community awareness, raise funds to support our Empowerment Program while providing a networking opportunity.

Last year has been quite a ride for us here at Canadian Small Business Women. With one year under our belt, we have made some important connections in the business world to help us host valuable events for our business community. We invite you to be a guest, exhibitor or a partner at some of our upcoming events. I hope to meet you all very soon.

IMMIGRANT WOMEN’S SMALL BUSINESS EXPO

This year, we are hosting two large feature events that are FREE of cost to our guests. We will be hosting our Immigrant Women’s Small Business Expo in Ottawa and in Toronto. Our Ottawa event will be held at the elegant Canadian Museum of Nature on October 4th, 2014 from 9am -5pm. This event will feature businesses from around the Ottawa area that offer services or business opportunities for our guests. We are expecting over 1000 guests to attend this one of a kind event. We will be inviting members of the Canadian Government, speakers from across Ontario and prominent members of the Ottawa Immigrant Community. We are currently seeking Exhibitors from business sectors such as education, legal, consulting, Immigrant Services, Real Estate, and more. Please view our event WEBSITE for further details. Our Toronto Edition of the Immigrant Women’s Small Business Expo will be held at the iconicToronto Metro Hall on November 9th, 2014. This event will be the premiere Immigrant Small Business event of the GTA. Our guest list will be similar to that of our Ottawa event. We are also seeking volunteers for both events. Our volunteer hours are split in two shifts: 6am – 12pm and 12pm to 6pm. We require volunteers in the areas of check-in, set-up, greeting, workshop organization and tear down. If interested, please email us at info@canadiansmallbusinesswomen.caor canadiansmallbusinesswomen@gmail.com and provide us with your name, age, event of interest, volunteer experience, contact information (including phone number) and hours of availability.

We are also seeking VOLUNTEERS for both our events. We are seeking 50 volunteers for each of our Expos. We welcome students, community groups and corporate groups as well. Volunteer areas available are: Exhibitor Check-In, Guest Entrance, Guest Check-In, Media Check-In/Escort, Direction Assistant, Workshop Assistant, Dignitary Check-In/Escort, and Event Check-Out. SMALL BUSINESS SEMINAR – AUGUST 2014

Join us for our 3rd Small Business Seminar on August 9th , 2014 from 9am – 4pm at Sheraton Parkway North Toronto(Hwy 404 and 407). We are very excited to be hosting our Seminar on the Northeast end of the GTA. This gives us a chance to expand our network and showcase what our business has to offer. We are currently seeking 30 vendors/exhibitors for this show as well as a few workshop hosts. You can fill out our Vendor Agreement Form by clicking HERE. Early bird tickets are now available for only $10 (a 66% discount) by clicking HERE.
